Heartwood RV Resort Policies

We want your stay at our Flagstaff RV Resort to be as easy and enjoyable as possible. Take a moment to review these policies before you arrive. Please note they may be updated from time to time, so check with Heartwood staff for the latest details before your stay.

Check-In & Check-Out

  • Check-in: 12 PM or later
  • After 6 PM arrivals: Pick up your packet at the Night Registration Box and proceed to your site. Notify staff the next morning.
  • After-hours arrivals: Allowed only if arranged 24 hours in advance. During peak season (May–Sept), arrivals must be by 10 PM. During off-season (Oct–April), arrivals must be by 8 PM.
  • Check-out: 11 AM
  • Early check-in/late check-out: $20 fee when available
  • Office Hours: 9 AM – 5 PM
  • Quiet Hours: 10 PM – 7 AM

Cancellation Policy

  • Cancel 8+ days before arrival: Refund minus $25 processing fee
    Cancel 3–7 days before arrival: One night’s deposit kept
  • Cancel within 48 hours or no-show: No refund
  • Early departures: No refunds or prorations
  • Weather, mechanical issues, or emergencies: No refunds
  • Modifications (dates, site type, length of stay): May be subject to additional fees
  • Refunds: Processed in the same form as original payment
  • Management may review special circumstances case-by-case, but refunds are not guaranteed

Pet Policy

  • Maximum 2 pets per site
  • Pets are complimentary (no fees)
  • Must be leashed at all times unless in the dog park
  • Rabies vaccination paperwork required at check-in (mandatory, no exceptions)
  • Pick up after pets (waste stations provided)
  • Pets may not disturb other visitors, especially during quiet hours
  • Pets may not be left unattended outdoors

Guests & Visitors

  • All visitors must register at the front office
  • Guest fee: $25 per person, per day
  • Parking permit: $10 per vehicle, per day (must be displayed; guests must park in designated areas)
  • Site occupants are responsible for ensuring visitors follow all park policies
  • Maximum 6 total occupants/visitors per site

Occupancy

  • Base rate includes: 2 adults + 2 children (15 & under)
  • Additional occupants: $4 per person, per night
  • Maximum 6 occupants per site

Sites & Requests

  • Site numbers may change at management’s discretion
  • Optional $20 site request fee available when booking
  • If your requested site is not available upon arrival, the $20 fee will be refunded

Sewer & Waste Disposal

  • All sewer connections must be sealed with no leaks
  • Discharging wastewater (septic or gray water) on the ground is prohibited (violators subject to fines and possible eviction)
  • Formaldehyde products are not permitted
  • Sewer hoses must be connected or stored away (cannot lie on the ground)
  • Trash must be bagged, tied, and sealed before disposal in onsite dumpsters
  • Trash left behind at your site: $50 cleanup fee
  • Do not flush: disposable wipes, sanitary napkins, diapers, Kleenex, paper towels, cigarette butts, cooking grease, or anything non-dissolvable. Use RV-rated toilet paper only.
  • Guests are responsible for repair costs if improper waste disposal causes damage

Vehicles

  • ATVs, motorcycles, and golf carts may only be operated by licensed drivers
  • Must be driven safely and courteously, obeying posted traffic signs
  • Pedestrians, electric carts, and bicycles always have right of way
  • Operating any vehicle under the influence of drugs or alcohol will result in immediate eviction

Fires & Smoking

  • No open campfires, wood-burning, or charcoal grills
  • Propane fire pits only are permitted
  • Fireworks are prohibited
  • Smoking is not permitted on property (allowed off-site per Arizona law)

Mail & Packages

  • Mail and packages are not accepted at the property
  • PO boxes available at the Flagstaff Post Office
  • Amazon lockers available nearby (details provided at check-in)

RV Age Policy

  • Monthly stays: RV must be 10 years old or newer
  • Short stays (up to 14 nights): Older RVs may be approved with management pre-approval
  • Pre-approval process: Submit exterior photos (taken within the last 3 months) of all sides
  • Allow 5–7 days for approval

General Conduct

  • Be respectful of neighbors and staff
  • Do not mistreat or feed wildlife
  • Do not cut, carve, or damage plants or trees
  • No vandalism or property damage
  • Violations may result in fines or eviction
  • Resort is not responsible for personal injury, property damage, or losses
